your responsibilities

As an Administrative Assistant, you will provide support to the leadership and operational team. You are able to work with minimal direction and carry out a wide range of administrative duties with a strong focus on being proactive and organized. Responsibilities will include but not be limited to general administration across finance and HR, invoicing, payment & purchase order follow up, calendar management, contract management, travel, expense reporting, meetings/event planning, other duties and general organization in specific projects.

You help create and maintain processes and standards. When something can be improved, you’ll speak up. You will develop a strong end-user knowledge of operational, financial and hr administration. You demonstrate a methodical and effective approach to projects and deadlines and proactively communicate progress along the way.

your role

  • You assist with the onboarding of new hires, from offer letters over contracting to onboarding management and planning;

  • You support our finance & operations team with invoicing, payments follow-up, purchase orders, approvals;

  • You manage travel coordination including booking flights, hotels, and meeting requirements, with high attention to detail and coordination of varying time zones and geographical regions;

  • You follow up on contracts for manual signatures or via DocuSign and file them appropriately;

  • You set up conferences and, meetings, both virtual and onsite;

  • You work on a series of projects, including the organization of the quarterly team events and regular virtual events;

  • You follow up on the procurement of supplies;

  • You prepare and complete expense reports within Spendesk;

  • You persuasively, clearly, and concisely communicate with all stakeholders to complete your assigned tasks;

  • You format templates, documents, presentations and spreadsheets;

  • You maintain professionalism and strict confidentiality with all material and exercise discretion at all times.

Your qualifications

  • You have at least 3 years of administrative support experience, preferably in a fast-paced, start-up environment;

  • You have exceptional troubleshooting skills;

  • You have superb written and verbal communication skills in Dutch and English ;

  • You know how to create buy-in from team members;

  • You have solid time management skills;

  • You are able to work both collaboratively and independently;

  • You have exceptional troubleshooting skills;

  • You’re a digital native – and can work with conferencing/event tools, Office 365, Google Workspace, Keynote, expense management, invoicing software; all with the aptitude to learn new software and systems;

  • You have experience with invoicing and different VAT systems;

  • You are detail-oriented and results-driven and extremely organized;

  • You are a fast learner who searches for answers;

  • You have a passion for helping people and solving problems;

  • You are a self-starter who can anticipate future needs.
